The American Association of Port Authorities, an Alexandria, VA-based trade association representing seaports throughout the Western Hemisphere, is seeking a Communications and Membership Assistant. AAPA has a track record as a great place to work that provides upward mobility.
The Communications and Membership Assistant will be a member of the association’s outreach and membership services team, working with the CEO, Executive Vice President, and the communications and membership services staff. A strong candidate will have 2-3 years (or more) experience within an association, excellent Microsoft Office skills, and experience with social media, website and database administration (iMIS a plus). Must be able to support concurrent activities and multiple staff members, show initiative, and display professionalism and poise.
Typical job responsibilities will include:
Update and manage content for the AAPA website
Distribute press releases and marketing materials via Informz email software
Update and maintain organization records, individual records and event pages in iMIS database
Provide administrative support to the CEO and the communications and membership services staff
Edit Powerpoint slides for speeches
Coordinate AAPA annual award programs (update and distribute application guidelines, organize entries, coordinate with applicants, and post winning entries on the AAPA website
Manage production of materials for exhibit halls, conventions and media events
Assist in managing and organizing events like the AAPA Leadership Summit, media/influencer tours and technical committee meetings (send invitations, collect and track RSVPs, organize and provide materials to participants)
Support AAPA education and training programs (collect and edit bios, print name tags and speaker table tents, post presentations on website, etc.)
Update and maintain AAPA member Google map
Opportunities for drafting marketing materials, press releases, newsletter articles and social media posts, dependent on writing ability
Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written) in a team environment.
Strong attention to detail and excellent time management.
Professional demeanor with member service orientation.
Ability to define problems and present possible solutions.
Ability to interpret instructions, gain knowledge and show initiative.
Capability to prioritize work according to changing office needs.
Ability to oversee ongoing processes and multiple projects independently.
Video editing skills a plus.
Additional Salary Information: Compensation: Mid to upper 40’s with excellent fringe benefit package including medical, dental, life and disability insurance; employer contributed pension as well as 401K; and free parking. Typical Schedule: Full-time; 40 hours/wk; M-F
