Assist key executives in execution of activities related to running and growing a $12-15m business line, serving associations and nonprofit organizations.
MCI Nonprofit Coordinator Duties:
Provide excellent customer service through telephone and email communications.
Maintain President’s calendar and travel arrangements, as needed.
Welcome and greet external visitors for client and other meetings.
Provide administrative support to MCI USA’s AM&C President ( note taking on calls and meetings, assisting in Word and Power point on proposal development, coordinating participation in proposal development among senior team members).
Assemble presentations, mailings, packets and any other information needed to ensure client success.
Maintain list of business development leads (via Excel and eventually SalesForce) to ensure timely collaboration, follow-up and proposal/pitch development.
Maintain staffing model for AM&C business unit (via Excel).
Provide on-site support for client meetings in support of business development.
Provide “floater” assistance to various clients as needed based on business cycle, staffing gaps, client transitions, etc.
Receptionist Back-up Duties:
Serves as part of receptionist back-up rotation.
Inputs information into the reception desk schedule (along with the receptionist) one month in advance to ensure front desk coverage.
Manages all incoming calls; ideally answering after three rings. Forwards calls to appropriate employee, voice mail or take messages.
Assists receptionist in maintaining the reception area and all common areas, including conference rooms and kitchens.
Greet and welcome visitors; being hospitable, offering a beverage, directing them to the appropriate office or conference room, etc.
Alert staff to important callers or messages via email as needed.
Assist receptionist in acquiring staff schedules to equip the front desk with current information.
Fiscal Duties (Describe all budget, revenue, or other types of financial responsibility):
Complete MCI USA timesheets
Other duties as assigned
Serve on appropriate MCI USA Matrix Teams; and function as a MCI USA Team Member in accordance with MCI USA’s corporate vision and guiding principles.
Knowledge, Skills and Abilities:
Excellent business communication skills (written & oral)
Experience maintaining confidential information.
Ability to interact with senior executives in a confident, assertive manner to ensure highest and best use of executive time.
Demonstrated ability to succeed in fast-paced work environment
Demonstrated ability to provide excellent customer service
High technical proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), general computing skills, and the Internet.
Experience with or ability to quickly learn database functions in netFORUM Pro (Avectra) or other databases
Applicant must be extremely organized, diligent, able to multi-task, and operate with only the highest degree of integrity
Experience or interest in membership associations, public charities, accreditation services and events management a plus
