The American Trucking Associations (ATA), the nation’s leading trade and lobby association representing the trucking industry, has an opening for a Legislative Affairs Assistant. The incumbent in this role provides support to the overall ATA Legislative Office and works directly with the grassroots, Call on Washington and TRUCK PAC programs.
The individual will assist in all aspects of planning and operation of the Political Action Committee (PAC) and assist in the planning and execution of Grassroots activities that support ATA in achieving its public policy objective. The Legislative Affairs Assistant will report to the Director of Political Affairs and work in our Capitol Hill office. This position has no supervisory or budgetary responsibilities.
Administrative Support for Senior Vice President, Legislative Affairs;
Assist in the preparation of the Truck PAC Board of Directors Meeting and Truck PAC Gala at ATA Meetings. Includes: pulling reports, preparing invitations for mailings, assembling materials for presentations;
Database management of donor records to make sure each donor is appropriately tagged;
Managing fundraising events report and RSVP lists;
Assist with the logistics of a Call-On-Washington that includes: preparing and assembling packets for attendees, assist in the planning and execution of COW Receptions that includes reservations, room set-up, and catering;
Research and develop materials to support ATA’s legislative affairs teams at both the Federal and State level;
Support Grassroots Manager in carrying out day-to-day PAC activities, including database management, review of candidate fundraising events, coordination with candidate fundraising committees, and entry of contribution requests
Coordinate PAC Event logistics, including coordinating, planning and execution of events, securing locations and maintaining invite and attendee list;
Assist with preparation and distribution of regular PAC communications;
Prepare materials to support Public Official visits;
Be the first point of contact and receptionist for the Capitol Hill office will ensure that guest gain entrance to the building as needed. Ensures that mail and packages are received and delivered timely;
Will provide back up to the Coordinator, Legislative Affairs when needed;
Will provide administrative support to the Manager, Grassroots Programs, and Director, PAC by assisting with mailings, document creation;
May perform routine administrative duties such as processing department invoices, and preparing FedEx shipments.
Knowledge and Skills:
BS/BA required with 0-2 years of administrative assistant or PAC experience and Capitol Hill office experience preferred. Exemplary communication skills both oral and written, professional disposition and demeanor. Must be proficient in MS Office suite. Must have ability to prioritize and multitask as needed.
