The International Society for Technology in Education (ISTE®) is looking for an executive admin professional to work for an organization that is making a difference in improving education around the world. The candidate for the Senior Executive Assistant to the CEO and Board will possess a proven ability to manage the busy schedule of the CEO and support the work of the board of directors. The ideal candidate will have a high attention to detail and excellent communication and technology skills. The applicant should also be adept at multi-tasking and managing the logistics for a variety of meetings and events throughout the year. The successful candidate will able to demonstrate critical thinking and the ability to independently manage often complex communications and scheduling between the CEO, ISTE Board and a variety of stakeholders. Experience in board governance and management is also preferred but not required.
Essential Functions • Manage the CEO's schedule, calendar and all speaking requests. • Provide administrative support and project coordination to the board of directors and committees through the preparation and distribution of meeting notices, agendas, minutes, materials (including maintenance of board portal), etc. • Coordinate and facilitate the board policy monitoring process, timelines and deadlines in support of both the board of directors and the CEO. • Coordinate and attend all board and board committee meetings and calls, including those that require out of state travel, and record and maintain all meeting minutes. • Manage the annual board nominations and elections process, supporting the Nominations Committee, and liaising with ISTE staff. • Coordinate and facilitate board communications (internal and external). • Prepare and maintain the board budget in collaboration with board of directors, in consultation with the CEO and chief admin and strategy officer. • Prepare and maintain the CEO budget in collaboration with the CEO and chief operating officer. • Coordinate all logistics for board and committee meetings. • Maintain official records of the organization, including bylaws, policies and procedures, board committee membership and records, and board minutes. • Handle details of a highly confidential nature for the board and the CEO. • Make travel arrangements, and prepare itineraries and file expense reimbursement requests for the board and CEO. • Prepare invoices and other financial documents for approval by the CEO.
Minimum Qualification Guidelines • Post-secondary degree. • Minimum of four years of professional experience with an understanding and interest in executive administration. • An equivalent combination of education and experience may also be acceptable. Also desirable: • Experience with board governance support including board management tools such as BoardPaq.
Critical Skills • Possess strong project and personality management skills, exceptional organizational skills, customer service driven, and excellent oral and written communications skills with good spelling, outstanding proofreading and grammatical skills.. • Strong computer and data management skills with demonstrated proficiency in Microsoft Office Suite and Google Suite. • Administrative experience with organizations with 30 or more employees and an appreciation for supporting boards of directors and committees of the board. • Strong ability to take initiative, and manage work flow and priorities. • Demonstrated ability to develop and oversee department-level budgets. • Must be flexible and deadline oriented, proactive and be able work independently. • Excellent interpersonal skills with the ability to work effectively with all levels of staff, members of the board of directors and ISTE stakeholders. • Ability to meet deadlines and under pressure. • Sound judgment and ability to maintain confidentiality. • Demonstrated experience recording accurate minutes of meetings. • Strong interest in board management and policy governance such as the Carver Model.
This is an immediate opportunity to become a member of a collaborative team working hard to make a difference every day. ISTE has offices located in Portland, OR and Washington, DC (located in Arlington, VA). This position will be located at the Washington, DC office. This position requires travel out of state for meetings/events at least three times a year; participation in occasional conference calls outside of traditional work hours; and work on occasional Saturdays for organization meetings.
