This position is responsible for full-cycle management of the iMIS database, and Association Management System (AMS), to include data integrity (maintenance and cleaning), security, staff support and training, and development of standard operating procedures. The Database Director will also serve as the internal and external point of contact for all iMIS related matters, including owning the relationship with Association Technology Solutions (ATS). Additionally, the Database Director will perform routine database audits and assist the membership department in customer relations. The Database Manager will also play a key role in the data collection and analysis of information that will be used in industry publications, presentations and Congressional testimony. The Database Manager will report to the Chief Financial Officer.
• Serve as the primary database manager to include knowledge of data maintenance, event management, order processing, member updates, and reports • Maintain database integrity by conducting routine audits of membership data • Actively track, code, and enter member activities into the database • Collaborate with external vendors to ensure database meets the needs of membership and the organization as a whole • Work with Meetings department to ensure registrant data is recorded for all ASLRRA conferences, webinars and meetings • Assist Finance in set-up of iMIS events, billing lines, accounts receivable and membership renewals • Pull membership reports and customized queries for marketing purposes, board reports, member activities, committees, etc. • Collect and analyze data to assist in the publication of industry related documents • Collaborate with stakeholders to streamline report request and ensure accuracy of data • Manage membership data (prepare and maintain data files; verify data to ensure data integrity; and create reports for internal and external stakeholders for membership/marketing initiatives)
Process Improvement and Trouble Shooting
• Design and develop standardized operational, management, and ad-hoc reports • Work with both internal and external stakeholders to prepare reports fulfilling the requirements of different business units • Serve as interdepartmental staff liaison and resource in the areas of data management and reporting • Identify and set up standard reports for staff to run independently • Oversee data flow/data syncs for external direct marketing campaigns, including management of data imports, exports, and coding for member acquisition campaigns. • Proactively make recommendations to the Vice President of Meetings & Membership on member data process improvements
• Collaborate with the membership department in recruiting efforts as well as membership renewal processing • Support the department in its efforts to sell membership benefits and in promoting products • Assist in processing of member applications, event registrations, subscriptions, products, and other orders • Work with the accounting department in order to invoice, post payments and pursue collections on past-due memberships • Update member records on a regular and routine basis • Work in conjunction with meetings team to manage conference registrations (pre, on-site, and post) • Assist with membership data pulls for board reports and committee updates
• Bachelor’s degree in Business Management, IT or related field required • 3-5 years’ experience in an Association Management System • Ability to create Crystal reports • Experience working in associations or non-profit environments preferred • Excellent computer skills required • Strong curiosity about data trends and information and how it can inform membership/marketing decisions for retention, acquisition, and engagement of members • Experience performing and/or coordinating data loads and extracts for reporting purposes • Strong curiosity about data trends and information and how it can inform membership/marketing decisions for retention, acquisition, and engagement of members • Ability to work effectively with team members • Effective interpersonal, organizational, analytical and problem-solving skills • Excellent customer service required, as well as the ability to build and maintain strong internal and external relationships. • High level of professionalism required
