IIAR and ARF has an immediate opening for an Administrative Assistant position that will help manage our day to day operations. This Non-Exempt, Full-Time position offers support to both organizations.
The Administrative Assistant will provide clerical support and serve as the receptionist for both organizations. This position requires that the employee be able to work unsupervised and have excellent communication skills. In addition, the Administrative Assistant will be part of the advancement/fundraising efforts of the Foundation.
Administrative Support This position is responsible for providing general administrative support as needed, including but not limited to:
Responsible for answering incoming calls and directs callers to the appropriate staff person.
Act as the initial point of contact for membership, donors and other external contacts.
Greet visitors and serves as first point of contact for both organizations.
Retrieves and distributes daily mail.
Purchase office supplies and keep storage room stocked and organized.
Provide administrative support for the ARF Board of Directors meetings.
Attend ARF's Board of Directors meetings and draft minutes.
Coordinate production and mailing of ARF's spring and year-end appeal letters.
Manage ARF's donor database, conduct preliminary research on prospective corporate foundation and individual donors.
Develop and maintain ARF's filing system.
Perform general administrative support for both organizations.
Maintain guest lists, gather and prepare registration materials for ARF's fund-raising events.
Assist with coordination of event logistics for both organizations.
Assist with ARF's print and electronic newsletters.
Assist with ARF's donor communications, including appeal and thank you letters.
Coordinate bulk mailings for ARF.

ARF (The Ammonia Refrigeration Foundation) was founded in 2006 by the membership of IIAR (The International Institute of Ammonia Refrigeration) as the 501 (c) (3) arm of the Institute. Both organizations support and advocate for the safe, reliable and efficient use of ammonia and other natural refrigerants through talent development, education, and research.
Associates Degree; Bachelors Preferred.
Ability to read, write and speak Spanish proficiently a plus.
Minimum two years related experience; nonprofit experience a plus.
Proficiency with spreadsheets, databases, and word processing.
Ability to multi-task and prioritize in a dynamic work environment.
Strong attention to detail and ability to work as a team member with minimal supervision.
Solid written and oral communication skills and excellent phone manner.
Ability to develop effective work plans, organize details, set priorities, and meet deadlines.
Ability to operate and troubleshoot standard office equipment.
