Pennsylvania Rural Electric Association (PREA) , a statewide trade association and Allegheny Electric Cooperative, Inc. (Allegheny), a generation and transmission (G&T) rural electric cooperative, —both located in Harrisburg, Pa.—seek a candidate for the position of Member Events Coordinator. Both entities are managed by Continental Cooperative Services who will employ the successful candidate.
Major Areas of Responsibility
Coordinate all phases of event logistics including, but not limited to, catering, meeting room lay-out, housing, transportation, AV equipment, event registration, on-site execution, etc.
Provide input on meeting topics, agendas, and guest speakers
Serve as meeting liaison for speakers, special guests
Attend corporate events for day-of coordination to ensure all teams uphold service standards and overall member satisfaction
Serve as the primary staff contact to cooperative members for all corporate events
Collaborate with team members in all areas of planning and event execution
Prepare and complete accurate banquet event orders with meeting/event venue
Select locations and vendors for events
Negotiate and execute contracts with locations and vendors related to events
Negotiate arrangements with speakers for and special guests at events
Prepare comprehensive event proposals that exceed member expectations
Coordinate logistical details including rental orders, event details, guest counts, proposal updates, and member follow up
Communicate with in-house teams on event changes and execution details
Cross-train in other aspects of member services
Create, monitor, and manage event timelines and budgets
Must be available to work day and evening hours, as well as weekends
Must be willing to travel up to 35%
Knowledge, Skills and Abilities Sets
Experience in the hospitality industry, especially the event planning industry is preferred
Proficiency with Microsoft Office (Word, PowerPoint, Excel and Outlook) is preferred
Proficiency with event management software and internet applications is a plus
Self-motivated with ability to work in a fast-paced and deadline-oriented environment
Ability to work under pressure and coordinate multiple events, responsibilities and deadlines at one time
Strong people and management skills
Strong problem-solving and creative thinking skills and ability to formulate solutions into action
Strong written and verbal communication skills
Strong organization and effective time management skill
Effective planning skills and must pay close attention to details
Budget and accounting skills a plus
Attention to Detail
Bachelor’s degree in Business Administration, Hospitality Management, Public Relations, Communications or a related field.
At least 5 years in event planning and/or hospitality industries

Allegheny provides the power requirements for the 14 rural electric distribution cooperatives in Pennsylvania and New Jersey. Allegheny’s mission has been to provide electric cooperative consumers with a reliable supply of energy at a competitive price. In doing so, Allegheny has been very active in meeting its members’ desire to support conservation, provide clean and renewable energy generation, and ensure a secure energy future for electric cooperatives. About 65 percent of Allegheny’s energy supply comes from clean, stable and relatively low-cost resources. The remaining 35 percent of Allegheny’s power supply comes from market purchases.
