NACD is actively searching for an entry level Meetings Assistant. The Meetings Assistant reports to the Director of Meetings and Regional Programs. In addition to providing administrative support, this individual supports various aspects of planning and implementation of all association events, including over 15 meetings per year. The successful candidate will be able to multi-task and be very organized and detail oriented.
Support Director of Meetings and Regional Programming in hotel relationship management for all external meetings.
Support registration needs, including creating meeting registration forms, working with appropriate staff to set up online forms, receiving and responding to registration inquiries and managing the email@example.com email account. The meetings assistant will also update internal registration reports and provide updates to a variety of staff and volunteers.
Coordinate logistics for packing and shipping supplies to all NACD events and workshops.
Keep inventory of badge stock, badge holders and ribbons.
Provide information to communications team for the meeting website and other marketing collateral.
Review hotel proposals to summarize options for the Director of Meetings and Regional Programming.
Responsible for all logistics for vendor expo(s), including serving as main-point-of-contact for all exhibitors.
Monitor housing lists for all meetings and track against registration list (i.e. reservations without meeting reservations) – reach out to unregistered attendees with sleeping rooms to obtain registration.
Reach out to previous years’ meeting attendees to determine current year registration status.
Contact facilities and suppliers for requested information (i.e. shipping details, transportation, key cards production, amenities).
Maintain master contact list and staff travel itinerary for all meetings – prepare ground transportation manifests (if applicable).
Prepare invoices for review/payment.
Assist in preparation of site visit itineraries and meeting agenda templates.
Responsible for ordering/setting up food for in-house meetings.
Occasional assistance with administrative duties such as answering calls to main phone line.
A college degree or equivalent work experience, preferably in the field of meeting planning, hospitality or event planning is preferred. One year in an association or meeting planning environment is a plus.
Excellent oral and written communications skills.
Creative problem solving; calm/cheerful demeanor under pressure.
Exceptional organizational skills with the ability to handle multiple assignments in a fast-paced, small office team environment, and the ability to meet multiple deadlines.
Solid customer service skills.
Proficient in computer and website skills, including but not limited to MSWord / Excel / PowerPoint and Adobe Acrobat.
Some travel is required.
