The Arnold Sports Festival is the world’s largest multi-sport festival attracting an estimated 200,000 sports and fitness fans to watch more than 22,000 athletes compete in 80 sports and events, including 16 Olympic events. The Arnold Sports Festival is now hosted on six continents.
The Arnold Sports Festival (ASF) is seeking an Event and Office Coordinator. This individual will support the operational mission of the Arnold Sports Festival in the areas of finance, communications, scheduling, writing assignments, public relations and professional athlete management. This position is responsible for executing logistical and event planning details for the Arnold Sports Festival, assist within the office overseeing day-to-day tasks and any other special events as assigned.
Event Planning Responsibilities Could Include:
Manage and serve as professional bodybuilding and strongman athletes worldwide
Maintain relationships with more than 70 hotel partners including negotiating hotel contracts, managing reservations and rebate management
Define schedules for the weekend and communicate approved schedules to ASF team members
Work closely with the ASF Transportation team identifying and finalizing their logistical needs including but not limited to van rentals, citywide shuttle transportation, creating and maintaining a flight manifest, identifying and coordinating special transportation movements, work with Temporary Traffic Control and Special Events team with the Department of Public Service, City of Columbus and determine overall parking needs and plan
Apply for city permits needed for ASF Weekend
Assist with overall Weekend security plan
Creation, production, delivery and placement onsite for event signs, banners and flags
Review of food and beverage options at the Greater Columbus Convention Center, Ohio Expo Center and Hilton Columbus for various ASF teams
Assist ASF team with overall Weekend branding and marketing. Will be specifically responsible for the design and production of several marketing pieces including creation of annual promotional video
Manage VIP packets and gift bags; create VIP and gift basket list, create VIP packet and gift bag labels, insure packets and bags are stuffed with all appropriate materials, insure delivery of VIP packets and gift bags to VIP
Arrange set up of Welcome and Visitor tables in all downtown hotel lobbies with Experience Columbus; insure Experience Columbus has Event promotional and marketing materials for tables; insure Experience Columbus has Event signage for this area
Manage all aspects of the general ASF volunteer (“ambassador”) program including recruitment, scheduling and onsite direction
Serve as team liaison to multiple teams including Medical, Host Committee, Athlete Expediter, Meet & Greet and Security teams
Foster community relationships with outreach to and participation in numerous service groups, neighborhood associations, etc.
Office Coordinator Responsibilities Could Include:
Efficiently answer and respond to telephone calls
Greet office guests
Create email responses, labels, reports, etc.
Assist with office financials including processing invoices, writing checks, organization of individual and vendor tax forms and financial reporting
Requires flexible schedule to meet business demands, with many hours during evenings and weekends going into the Arnold Sports Festival.
Salary based on experience.

Bachelor's Degree from four-year institution
3-5 years of experience in a relevant role is preferred
Experience in project coordination, hospitality, and/ or event management industries is preferred
CMP designation desirable
Strong customer service/interpersonal skills that include building and maintaining relationships with a diverse network of individuals and organizations
High-level organizational skills with great attention to details and the ability to multitask.
Excellent communication skills to share ideas and information with the team to ensure all tasks are completed efficiently.
Time management skills and the ability to prioritize a large volume of tasks to meet deadlines.
Self-motivated with enthusiasm for the job at hand without needing constant supervision.
Problem solving skills to quickly find solutions when problems occur
Must be adaptable to your environment and all tasks needing to get accomplished on a day- to-day basis.
High proficiency with Microsoft Office Suite
Ability to do light lifting (up to 40 lbs.)
