Summary of Position: The Operations Support Coordinator contributes to Child Care Aware ® of America’s mission, vision, and values by performing overall clerical and office services support. The Operations Support Coordinator works closely with administration to ensure the timely and thorough completion of all tasks.
Position Duties and Responsibilities: • Serves as liaison between building management and organization regarding office suites amenities and service (i.e., parking, service requests, conference center, and freight elevator, etc.). • Assists with data entry into HRIS; including status changes; new employees, and transfers. • Provides administrative support to the HR department, including maintaining, processing documentation and records. • Manages multiple group email accounts and internal communication platforms. • Assist with the distribution of companywide communications. • Assist with on and off-site meetings meeting logistics (i.e. set-up, orders lunch, stocks supplies, and tear-down). • Assist with the management of vendor relationships as it pertains to equipment, furniture, catering, and supplies. • Serves as backup receptionist, including managing incoming calls, greeting visitors and courier service pickups/deliveries. • Participates in the coordination of department activities and assists in carrying out various programs and procedures which support the HR function. • Maintains office suites staff seating chart and space availability. • Keep bulletin boards current, post memos, and federal law posters • Maintains safe, secure, and clean community and general areas. • Assist with other duties as assigned
Qualifications: • Bachelor’s degree or equivalent related experience. • Proficiency in Microsoft Office Suites (Word, Excel, PowerPoint, Outlook, Publisher). • A minimum 2 years’ experience working in a professional office management and/or administrative role.
Skills: • Excellent time management. • Must maintain confidentiality standards as it pertains to human resources information and systems. • Exercised knowledge of the principles and processes for providing quality customer service. • Ability to work independently with exceptional organization, attention to detail and follow through. • Highly flexible with the ability to manage multiple tasks through completion and embrace new technologies. • Established mastery of administrative and clerical procedures and systems. • Demonstrated knowledge of office management and optimal coordination of resources. • Excellent analytical, verbal and written communication skills. • Must be discreet with superior interpersonal skills to engage internal and external customers. • Ability to develop constructive and cooperative working relationships with others, and Must be ability to work independently and follow through. • Ability to lift a minimum of 50 lbs.
