Professional association located in Bethesda, MD is seeking a Manager, Publications Operations. The National Association of School Psychologists (NASP) represents over 24,000 members, has a staff of 30, and an annual budget of $8 million. NASP represents school psychology and supports the work of school psychologists to enhance the learning and mental health of all children and youth. This position provides an excellent opportunity for a detail-oriented individual to support the day-to-day operations of our publication sales orders, fulfillment and provide excellent customer service.
The Manager, Publications Operations will primarily be responsible for sales order processing, coordinating fulfillment details, managing copyright and reprint permission requests, supporting other online content products including PREPaRE curriculum sales, publications customer service and serving as the internal point of contact for various office support functions. This is an exempt level position reporting to the Director, Publications Operations.
Order Processing: Ensures timely processing of all daily publication orders, including online, bank batches, purchase orders, fax, phone and mail orders. Analyzes, reviews, enters and ensures quality control for daily processing (publications, PREPaRE, etc.) in iMIS and the accounting system. Resolves billing, shipping, claim, payment issues. Uploads batches to warehouse. Tracks and monitors order status.
Customer Service: Provides excellent customer service, including phone and email support. This position will be the front-line person answering publications related inquiries, following-up (quotes, shipping fee estimate, etc.) and dealing with other customer needs and concerns; assists with answering general office calls. Works with bookstores, school systems and other customers to ensure proper pricing, processing of volume orders and accuracy of shipping information.
Reconciliations & Reports: Reconciles batches and other data. Ability to develop Excel reports, track, monitor and update data.
Copyright Permissions: Manages copyright and reprint permission requests for NASP publications; ensures proper collection and processing of related fees.
Annual Convention: Assists director with pre- and post-convention publications booth related support (prepare inventory for freight shipment to/from convention; return inventory to warehouse; monitor and account for all items). Onsite support at convention as needed (packing and unpacking of inventory, monitoring booth activity, processing orders, etc.).
Office Support: Oversees operation and training on mail system and other equipment as needed. Knowledgeable of shipping methods, mail rates/specifications and processes. Responsible for daily mail pick-up and receiving incoming office packages.
Other: We work as a team and to accomplish our mission and other duties are expected to be added to this position that require a similar skill set. Other duties may be assigned by the Director of Publications Operations, COO, or Executive Director.
Essential Skills and Experience:
Associate degree in accounting or business plus 3-5 years of related experience in batch processing, fulfillment and office support preferably in an association environment.
Technical skills: Experience with association management software (preferably iMIS) or other relational database system and accounting software (sales and inventory modules) required. Additionally, experience with MS Office 365 is highly desirable (Word, Excel, Outlook, Teams). Prior experience with web content management system; comfort with web and mobile technologies is preferred. Experience with office equipment and support (mail equipment, copiers) or other equipment is desired.
Excellent communication skills, both written and verbal. Ability to provide outstanding customer service.
Excellent time management skills. Proven attention to detail, the ability to multi-task, and the ability to set and meet realistic goals and timelines.
Effectively work with staff, both individually and in a team environment.
Minimal travel required. Ability to lift 25 lbs. and move boxes.
