The Program Manager, Governance and Strategic Initiatives will serve as the staff liaison to the APAF Board of Directors, manage APAF external grants/awards programs, administer Salesforce database, and provide project support to APAF development, educational programs, and strategic initiatives and campaigns. The Program Manager will also support the administrative needs of the APAF Executive Director and the business functions of the APAF.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • APAF Governance and APA Foundation Board of Directors
    • Serve as the staff liaison to the APAF Board of Directions and its subcommittees with routine communication and coordination of activities. Includes distribution of Board meeting materials, Board meeting follow-up and summary of actions, travel logistics, appointment letters and APAF newsletters.
    • Oversee the collection, completion, and assembly of agendas and relevant materials for APAF Board Meetings, APAF Subcommittees and other APAF Board related events. Create and maintain procedural structure to ensure that all deadlines are met while also coordinating cross-functionally with presenters and participants.
    • Manage events and logistics for APAF Board-related events including schedule, venues, meals, travel accommodations, travel reimbursements, A/V and video conferences capability. Works closely with APA Meeting and Facility Departments.
    • Serve as the point of contact in the collection and development of APAF presentations and reports for APA Governance Meetings. Work closely with Managing Director and Executive Director to ensure all requests are met.
  • Program Management and Project Support
    • Serve as Administrator of APA Foundations Salesforce platform.
      • Manage administrative functions including user account maintenance, customization, reports and dashboards, workflow, complete regular internal system audits and prepare for Salesforce upgrades.
      • Train new users as well as increase skill set across the Foundation.
      • Manage data feeds from external data portals and app/service integrations.
    • Manage the Helping Hands Grants Program
      • Recruitment: Maintain and update online application portal (Rhythm Q) and grant guidelines, promote application cycle through APA and external channels, serve as point of contact for inquiries.
      • Review and selection: Manage selection committee review and rating of applications through Rhythm Q. Facilitate selection committee meetings and approval by APAF Board of Directors. Notify applicants of selection committee results. Publicize grantees in APA media channels.
      • Grants Management: Execute grantee contracts. Manage disbursement of grant funds and travel stipends. Ensure compliance to grant reporting requirements. Facilitate grantee poster sessions at APA Annual Meeting.
    • Manage the Awards for Minority Mental Health
      • Recruitment: Maintain and update online application portal (Rhythm Q) and grant guidelines, promote application cycle through APA and external channels, serve as point of contact for inquiries.
      • Review and selection: Manage selection committee review and rating of applications through Rhythm Q. Facilitate selection committee meetings and approval by APAF Board of Directors. Notify applicants of selection committee results.
      • Awards Management: Manage disbursement of award funds and travel stipends. Facilitate awardee attendance at award reception at APA Annual Meeting. Publicize awardees in APA media channels.
    • Manage the MOORE Equity in Mental Health Community Grants Program
      • Recruitment: Maintain and update online application portal (Rhythm Q) and grant guidelines, promote application cycle through APA and external channels, serve as point of contact for inquiries.
      • Review and selection: Manage selection committee review and rating of applications through Rhythm Q. Facilitate selection committee meetings and approval by APAF Board of Directors. Notify applicants of selection committee results. Publicize grantees in APA media channels.
      • Grants Management: Execute grantee contracts. Manage disbursement of grant funds and travel stipends. Ensure compliance to grant reporting requirements.
      • Provide administrative support in the planning and execution of the annual MOORE Equity in Mental Health 5K.
    • Manage the O'Leary Award for Innovation in Psychiatry
      • Recruitment: Maintain and update online application portal (Rhythm Q) and grant guidelines, promote application cycle through APA and external channels, serve as point of contact for inquiries.
      • Review and selection: Manage selection committee review and rating of applications through Rhythm Q. Facilitate selection committee meetings and approval by APAF Board of Directors. Notify applicants of selection committee results.
      • Awards Management: Manage disbursement of award fund and travel stipend. Facilitate awardee attendance at award reception at APA Annual Meeting. Publicize awardees in APA media channels.
    • Project support to APAF Business Development.
      • Support to the Corporate Alliance. . Support Associate Director of Corporate and Foundation Partnerships with Corporate Alliance and annual meeting logistics, reception, review and distribution of meeting materials, company research, review of sponsorship grant applications and execution of contracts and agreements.
      • Support fundraising efforts during APA Annual Meeting and APA Governance meetings, including Annual Benefit event logistics, tracking Benefit ticket purchases, APAF booth coverage, organizing programmatic testimonials and promotional materials.
      • Support Director of Development in APA Ambassadors Program
      • Project support as needed to APAF programs including School, Center for Workplace Mental Health, Justice and Faith-based initiatives, Fellowships, Play initiatives, Library and Archive, and APAF partnerships.
        • Project support to APAF strategic initiatives and special campaigns.
        • Co-Staff Liaison for APA/APA Foundations partnership with the DC Public Schools Adopt-A-School program.
  • Administrative support to the Executive Director and Foundation business functions
    • Serve as point of contact between the Executive Director and internal administration, APA members/APAF donors and external partners.
    • Coordinate staff meeting agendas and reports across APA and APAF, in consultation with Executive Director, Managing Director, and Executive Assistant.
    • Assist in maintenance of state charitable registrations.
  • Perform other duties as assigned

REQUIRED SKILLS, EXPERIENCE, AND QUALIFICATIONS

  • Bachelors degree
  • Minimum three years of project management/governance experience
  • Proficiency in Microsoft Word, Excel, PowerPoint, Adobe Pro
  • Preferred Salesforce Administrator certification
  • Typing speed 50 wpm with 95% accuracy
  • Highly organized with ability to prioritize, multitask and take initiative
  • Possess strong attention to detail and ability to follow through
  • Excellent written and oral communication skills
  • Excellent interpersonal skills, tact, and diplomacy with the ability to work with all levels of management
  • Ability to work under pressure, meet multiple deadlines and troubleshoot and problem solve
  • Ability to maintain confidentiality, exercise discretion and sound judgment
