POSITION PURPOSE

CASE’s education division is charged with delivering multiple professional development opportunities to our membership. This position is responsible for supporting the programs team in conference logistics and experience, systems administration, attendee communication and volunteer stewardship.

ESSENTIAL FUNCTIONS

The core functions of this position include but are not limited to the following:     

Program/Project Management

  • Coordinates administrative activities related to conferences, described below, in conjunction with the event experience team.  Responsibilities include, but are not limited to, materials preparation for planning meetings and conferences, attendee communication, weekly reports on hotel and registration pick up; filing and tracking of program expenses; working with CASE database to create and maintain conference records.
  • Maintain and update attendee websites, communities, and apps.
  • Assists programs team to keep conference websites, attendee records, and evaluation reports.
  • Manage conference supplies and shipping schedule.
  • Monitors conference mailbox as needed, responding to members in a timely manet.
  • Keeps program/events managers on task with deadlines and deliverables.
  • Serves as on-site assistant for large national in-person and online conferences when not interfering with main position responsibilities. 
  • Liaises with colleagues running CASE's conferences, workshops, and institutes in other parts of the world to ensure the best sharing of ideas, expertise, and knowledge.

Fiscal Management/Budget Responsibility/Judicious Use of Resources

  • Exercise fiscal responsibility in the utilization of all CASE resources.

Image Responsibilities

  • In keeping with the CASE Values Statement, ensures that CASE is well represented by exercising a high degree of professionalism, accuracy, and ethics, in all activities, services, and products.

Liaison Responsibilities

  • Works cooperatively and diplomatically with all divisions and regions.
  • Liaises with CASE colleagues in other parts of the world to ensure the best sharing of ideas, expertise, and knowledge.
  • Incorporates tasks and/or projects related to objectives as directed by the CASE recalibration effort and strategic plan. 

Performs other duties and responsibilities as assigned by the Supervisor.

POSITION REQUIREMENTS

Bachelor's degree preferred; 1-2 years' work experience in project coordination within a customer-service environment required; advancement-related experience, volunteer management experience, online meetings, and event planning experience highly desirable.

  • A demonstrated interest in advancing education in the nonprofit sector.
  • A strong commitment to contributing to an organizational culture that celebrates diversity and inclusion.
  • An understanding of and interest in engaging with a broad range of cultures and countries.
  • Must exhibit superior customer service skills, self-motivation, and the ability to interact effectively with a variety of constituents, both internal and external.
  • Excellent written and verbal communication, organizational, interpersonal, and problem-solving skills necessary.
  • High level of proficency in Microsoft Office suite and database programs required.
  • Ability to work independently and in a team to accomplish goals and meet deadlines.
  • Ability to lift 25 pounds.
