GENERAL DESCRIPTION
The Education Program Coordinator (non-exempt) will report to the Director of Education and assist with the execution and coordination of live, in-person events, including the Association’s Annual Conference and Expo, Leadership Forum, as well as other in-person events and ASBO's online education offerings. This position will support the communication, analysis, and administrative functions related to ASBO’s in-person educational opportunities and will provide assistance and backup for online events. The Education Program Coordinator will contribute to project management, ensuring that multiple projects are effectively prioritized and executed in response to changing priorities, demands, and deadlines.
RESPONSIBILITIES AND DUTIES:
In-person Conferences:
Support education-related tasks for the Annual Conference and Expo (ACE), ensuring all elements are executed smoothly, including:
Assist with the development and maintenance of planning timelines and processes, including speaker/volunteer deadlines.
Help manage the call for proposals, session selection, and Speaker Service Center.
Provide onsite support of speakers.
Assist with the management of continuing education credit accreditations, including execution of the evaluation process from beginning to end.
Support the management of keynote speakers, from identification and communication to onsite assistance.
Assist logistics and marketing departments with the conference survey to ensure inclusion of questions related to future content planning (needs assessment and gap analysis).
Collaborate with the marketing team on the Mobile App, ensuring successful setup, testing, and updates.
Assist the Director of Education with the planning and development of the Leadership Forum content and speaker management.
Research speakers and manage proposals.
Organize speaker planning meetings.
Support the management of continuing education credits, including execution of the evaluation process.
Assist the events and marketing departments with the conference survey to ensure inclusion of questions related to future content planning (needs assessment and gap analysis).
Assist the Director of Education with the planning and development of the content and speaker management related to any future in-person conferences or events held by the association.
Collaborate with the marketing and communications team, manage the promotional efforts related to all in-person conferences and events.
Ensure timely and accurate website updates.
Provide content for email and other promotions.
Volunteer Engagement
Act as co-liaison to the Education Committee along with the Director of Education.
Support the call for volunteers with the Engagement & Volunteer Manager.
Determine the number of open positions on the committee based on term expiration and engagement.
Create and update the committee application.
Organize applications received and present to Education Committee Leadership.
Send official acceptance notifications.
Arrange and execute committee calls/meetings, including:
New committee member call
Full committee update and planning calls in the first and last quarters of each year.
Committee engagement
Assist with requests for committee members to participate in various organization projects.
Communicate various committee engagement opportunities including but not limited to:
ACE session submission
ACE session review
Webinar planning and speaker opportunities
Communication, Customer Service, and Departmental Support:
Assist the Director of Education in maintaining compliance with the organization’s continuing education accreditations, including NASBA (CPE), ASAE (CAE), and the Association’s Certification program (SFO).
Act as the primary backup for webinars, assisting with planning, communication, and execution.
Monitor the education email inbox for inquiries related to in-person conferences, education committee questions, etc.
Act as the primary backup for the education@asbointl.org inbox.
Prepare and oversee communications for the Education Department, including ASBO Learn/Education Opportunities emails and Education Guide Ads for SBA.
Provide exceptional customer service to members and speakers, ensuring inquiries are responded to promptly.
Collaborate with the Engagement & Volunteer Manager on creation of educational toolkits for members.
Assist with the management of departmental surveys, including building surveys, pulling data, creating reports, and analyzing results.
Collaborate with the marketing and communications team on the Association’s podcast, School Business Insider, regarding educational content and speakers.
Assist the Director of Education in the budget development process.
Perform other duties as assigned.
REQUIRED KNOWLEDGE AND SKILLS:
Two to four years of experience in education program management for a non-profit association or similar environment.
Experience with continuing education accreditations, specifically with the National Association of State Boards of Accountancy (NASBA) or similar organizations.
Proven ability to manage multiple projects simultaneously with high efficiency.
Exceptional organizational skills and ability to meet deadlines.
Adaptability and flexibility in attitude and work style with the ability to work in a team environment and independently.
Excellent communication skills, both written and verbal.
Strong proficiency in MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
Familiarity with association and content management systems, project management and collaboration tools and systems, databases, etc. Trello, iMIS, and eSHOW are preferred.
