Job Title: Meetings Education Manager
Position Summary: ICCFA is seeking an experienced Meetings Education Manager to oversee the planning, coordination, and execution of educational programming for conferences, webinars, online learning, and training programs. This position plays a critical role in managing speaker operations, continuing education accreditation processes, conference scheduling, webinar administration, and overall education program execution.
The successful candidate will be a highly organized and detail-oriented meetings professional with proven experience managing conference education programs and speaker logistics in a fast-paced association, nonprofit, hospitality, or events environment. This role requires independent judgment, strong communication skills, exceptional follow-through, and the ability to manage multiple concurrent deadlines with minimal supervision.
Candidates without direct conference or meeting management experience will not be considered.
Essential Duties and Responsibilities:
Conference & Education Support
Partner with ICCFA leadership, committees, and meeting stakeholders to identify educational priorities and develop relevant conference programming aligned with industry and attendee needs.
Assist with development and management of conference agendas, education schedules, and session timelines.
Coordinate all educational programming logistics for conferences, webinars, online learning, and training events.
Proof and review conference schedules, educational materials, session descriptions, and attendee communications for accuracy and completeness.
Support onsite conference operations related to education sessions, speaker management, room setup, AV coordination, attendee experience, and troubleshooting.
Speaker & Keynote Management
Manage all aspects of speaker management for assigned conferences and educational programs, including outreach, communications, deadlines, presentation collection, contracts, AV requirements, registration, travel coordination, and reimbursements.
Work with leadership and external partners to identify and secure keynote speakers aligned with conference goals and attendee expectations.
Serve as the primary point of contact for speakers and presenters throughout the planning and execution process.
Ensure all speaker materials, bios, presentations, and required documentation are submitted accurately and on time.
Continuing Education & Training Administration
Serve as the primary staff lead for ICCFA’s continuing education accreditation and compliance processes for conferences, webinars, and training programs.
Coordinate with accrediting organizations and agencies to obtain continuing education approvals and ensure all deadlines and reporting requirements are met.
Manage attendee tracking, certification documentation, evaluations, attendance verification, and continuing education records.
Oversee ICCFA’s COCP training administration for both online and in-person programs, including scheduling, participant coordination, communications, materials management, and program support.
Webinar & Online Learning Management
Manage webinar and online learning operations, including scheduling, platform administration, speaker coordination, attendee communications, technical preparation, and post-event follow-up.
Ensure online learning content is organized, accurate, accessible, and delivered professionally.
Coordinate testing and troubleshooting for webinar and virtual learning platforms prior to live events.
Meeting Logistics & Operations
Collaborate with internal departments and external vendors on event logistics, including audio-visual coordination, marketing support, attendee communications, evaluations, signage, and room setup requirements.
Monitor assigned event expenditures and assist with budget tracking, expense processing, reimbursements, and vendor coordination.
Assist with onsite event execution and provide operational support during conferences and educational programs.
Participate in post-event evaluations, reporting, reconciliation, and conference wrap-up activities.
Committee & Member Support
Serve as staff liaison to assigned committees and volunteer groups.
Maintain professional and responsive communication with members, speakers, vendors, sponsors, and volunteer leadership.
Support a high level of customer service for attendees, speakers, and ICCFA stakeholders.
Minimum 3-5 years of direct experience in conference planning, meeting management, association events, hospitality events, or education program management REQUIRED.
Strong understanding of conference operations, including scheduling, AV coordination, registration processes, speaker logistics, attendee communications, and onsite event support.
Exceptional written, verbal, proofreading, organizational, and project management skills.
Must possess outstanding attention to detail and the ability to manage high-volume communications accurately and efficiently.
Ability to prioritize competing deadlines, manage multiple projects simultaneously, and execute responsibilities independently with minimal supervision.
Proven ability to problem-solve, adapt quickly, and remain organized in a fast-paced environment.
Experience with webinar platforms, AMS systems, registration systems, speaker management processes, continuing education tracking, Microsoft Office Suite, and online learning platforms strongly preferred.
Proven ability to communicate professionally with executive leadership, volunteer leaders, speakers, vendors, and external partners.
Strong customer service skills and ability to build positive working relationships across multiple stakeholder groups.
Must be proactive, resourceful, deadline-driven, and capable of maintaining a high level of professionalism and accuracy under pressure.
Some travel required (approximately 20-30%), including evenings and weekends during conferences and events.
Physical Requirements:
Some physical exertion is associated with onsite conference and event support.
Ability to lift and move boxes and conference materials up to 45 pounds.
Salary & Benefits:
Salary range: $55,000-$70,000 annually, based on experience.
